2. Scope of Services
We provide comprehensive travel advisory and planning services, including but not limited to:

• Customized destination research and itinerary design

• Booking accommodations, transportation, tours, and activities

• Coordination and negotiation with suppliers (hotels, cruise lines, airlines, tour operators)

• Pre-trip documentation, concierge support, and optional 24/7 emergency assistance

• On-the-ground recommendations and adjustments as needed

3. Engagement & Fees
3.1 Planning Fee. A non‑refundable planning fee is due upon engagement and covers initial research, vendor negotiations, and proposal development.
3.2 Supplier Costs. All third‑party supplier costs (airfare, lodging, tours, etc.) are charged at cost. We quote final per‑person pricing in your proposal; availability and rates are subject to change until fully paid.
3.3 Additional Service Fees. Modifications after proposal acceptance—such as re‑routing, last-minute bookings, or special requests—may incur additional service fees at our discretion.

4. Booking Policies & Deposits
4.1 Supplier Deposits & Final Payments. Suppliers often require deposits and balances by specific deadlines. You authorize us to charge your provided payment method for all supplier invoices.
4.2 Availability & Pricing. We cannot hold space or pricing until proposals are confirmed and deposits are received. Prompt client action is essential to secure services.
4.3 Cancellation & Refunds.

• By Client: All cancellations must be submitted in writing. Refund eligibility is determined by each supplier’s policy; the planning fee remains non‑refundable.

• By Supplier: If a supplier cancels or alters a service, we will seek comparable alternatives. We are not liable for penalties imposed by suppliers.

5. Client Responsibilities
You agree to:

• Provide accurate traveler information (passports, visas, health requirements)

• Secure comprehensive travel insurance for trip cancellation, medical, and evacuation coverage

• Adhere to all supplier rules, schedules, and local regulations

6. Supplier Disclaimers
We act solely as your agent. We do not own or control any third-party supplier and are not liable for their acts, errors, omissions, or failures (e.g., overbookings, delays, mechanical breakdowns).

7. Limitation of Liability
To the fullest extent permitted under Colorado law, our liability for any claim arising out of or relating to these Terms or services shall not exceed the total fees paid by you to us for the affected portion of the trip.

8. Indemnification
You agree to indemnify and hold harmless Stepan Travel LLC, its officers, employees, and agents from any third‑party claims, damages, losses, or expenses (including reasonable attorneys’ fees) arising from your breach of these Terms or your negligence.

9. Intellectual Property
All website content—text, graphics, logos, itineraries, and materials—is proprietary to Stepan Travel LLC and protected by U.S. and international copyright laws. You may not reproduce or distribute any content without our prior written consent.
